The role will provide operational, analytical, and compliance support to the Support Services department, ensuring effective, efficient, and accurate execution of HR, Procurement, and Administration processes, including financial administration in line with organizational policies, best practices, and audit and compliance requirements. The role requires a sound understanding of financial processes & documentation, a solid grasp of procurement processes, and audit compliance.

The position is ideal for a female detail-oriented professional with strong interpersonal skills, looking to contribute to efficient service delivery, internal controls, and compliance within a dynamic environment. 

Key Responsibilities:

  1. Review internal control systems and recommend improvements to mitigate operational and financial risks.
  2. Ensure alignment of organizational procedures with donor and legal requirements.
  3. Support the development and implementation of compliance frameworks, policies, and SOPs.
  4. Maintain up-to-date compliance documentation and reporting mechanisms.
  5. Conduct spot checks and internal reviews to ensure adherence to internal policies.
  6. Oversee the implementation and effective usage of SAP- MM and HCM modules.

Procurement Support

  • Conduct a compliance review of all procurement transactions in line with the organizational and donor’s policy frameworks.
  •  Verify that all procurement transactions follow approved procurement policies, thresholds, and documentation standards.
  • Review procurement files for completeness, accuracy, and compliance before approval.
  • Support tender evaluations, vendor due diligence, and contract management from a compliance perspective.
  • Support in due diligence of partner organizations/grant recipients
  •  Ensure segregation of duties and transparency in all procurement activities.

Human Resources Support

  • Review best HR practices and HR processes to ensure compliance with organizational HR policies, labor laws, and donor regulations.
  • Support the HR department in maintaining proper documentation for recruitment, payroll, and personnel files and offboarding processes.
  • Monitor adherence to policies related to ethics, safeguarding, and anti-fraud practices.

Admin and Logistics Support

  • Ensure administrative processes (asset management, travel, fleet, logistics, etc.) meet internal control standards.
  • Review administrative expenditures and supporting documents for compliance.
  • Guide on improving administrative efficiency while maintaining control integrity.

Reporting

  • Prepare periodic compliance and internal control reports highlighting findings, risks, and corrective actions.
  • Maintain a tracking system for non-compliance issues and follow up on corrective measures.

Audit Support

  • Prepare reports for management and reconciliations for internal reviews.
  • Liaise with finance and audit teams to facilitate internal and external audits.
  • Monitor budget utilization and flag variances against planned expenditures.

Operational & Administrative Coordination

  • Provide coordination support in preparing documentation and reports
  • Support the implementation of internal control measures and compliance checklists.

Required Qualifications and Experience:

  • Professional Certification in accounting, i.e., ACCA or CA Finalist, only with completion of articleship from a reputable audit firm.
  • Post-qualification experience is at least 5 years in audit, finance, and/or procurement roles, preferably in the development sector.
  • Familiarity with HR, Administrative, and procurement policies, financial systems, and proficiency in audit procedures.

Required Skills and Competencies:

  • Strong analytical and numerical skills.
  • Proficiency in MS Office, especially Excel; knowledge of ERP/SAP is a plus.
  • Excellent organizational and documentation skills.
  • Good written and verbal communication.
  • Ability to work collaboratively across functions and manage multiple tasks under tight deadlines.
  • Exposure to system automations, preferably ERP systems.
  • Sound knowledge of internal control systems and compliance standards.
  • Commitment to ethical standards, confidentiality, and accountability
